The Client
Ethos Farm is a leading customer and employee experience company who offer outstanding workplace management, reception and concierge solutions. We partner with them to produce workplace events and employee engagement, offering on-site delivery, operations and event execution.
The Brief
The Apex Business Centre in Reading places high value on employee engagement and workplace events. They wanted to treat their tenants to an alpine-themed Christmas event bought directly to the office.
The Challenges:
Delivering an immersive themed event within a functional office environment presented logistical challenges. The space needed to remain fully operational throughout, requiring careful coordination, minimal disruption, and efficient installation to transform the setting within a tight time frame.
To get this event in on budget, we had a dilemma. The client wanted a ski gondola photo opportunity, but to hire one in from a prop hire company turned out super expensive, mainly due to the delivery, just for the one item. In true Planet Pursuits style, we decided to build our own. We got the wonderful Neil, our Store and Props Manager on the case, and he built an amazing ski gondola that the client loved, and I'm sure will use on other future events.
Our Approach
Our approach was broken down into specific stages.
1. Concept Design
We worked closely with Ethos Farm to bring the alpine theme to life, focusing on creating a warm, festive atmosphere that would feel inviting and authentic. With the main atrium being such a central space within Apex, we carefully considered how to make the most of the layout, ensuring the design felt impactful while still allowing people to move through the space comfortably. We took time to understand their comprehensive objectives, from encouraging engagement to creating a standout moment for tenants, and used this to shape both the look and flow of the event.
2. Planning & Logistics
Delivering an event in a live workspace meant every detail had to be carefully thought through. We managed all supplier coordination, building a clear schedule that worked around the natural rhythm of the building. Access points, delivery timings, and set-up zones were all tightly controlled to keep everything running smoothly. By planning ahead and maintaining clear communication with all those involved, we were able to minimise disruption to tenants while still delivering a high-impact transformation of the space.
Seamless Installation
With just a 3-hour build window, efficiency was key. Our team worked to a well thought-out plan, with each element arriving consecutively and being installed quickly and safely. This allowed us to transform the atrium from a working office space into a fully themed alpine setting in a short amount of time, without interrupting the normal flow of the building.
3 . Event Day
We had a very early start, arriving in Reading in the morning to unload the props and coordinate suppliers, Then it was all hands on deck to set up quickly and efficiently before the event started at midday. We needed to put up several Christmas trees, build a ski gondola set for photos, set up the indoor curling, and take delivery of picnic tables and high top bar tables, while also decorating with Christmas greenery, baubles, alpine reindeer rugs and other props around the atrium area.
We sourced a fantastic musical trio to walk around the crowd chatting and singing Christmas tunes to the delight of the audience. We’ll definitely use them again!
Live Event Management
On the day, our team were on-site to manage every aspect of the experience. From coordinating guest flow to ensuring each activity ran smoothly, we kept everything ticking along behind the scenes. We also managed entertainers, photographers, and all engagement elements, making sure tenants were actively involved and enjoying the event from start to finish.
Dismantle and Restore
Once the event came to a close, we carried out a quick and efficient pack-down, carefully removing all event elements and returning the space to its original state. Working to tight timelines, we ensured the atrium was fully restored and ready for normal use with minimal disruption.
