Oxford has more event-grade venues per square mile than almost anywhere south of Edinburgh. Inevitably, there are also more ways to get an event wrong! When it comes to choices you have the colleges, the heritage locations, the examination schools and the country estates within 30 minutes. 

 

The choices are many and varied. The catch of course is that none of it works like other cities! If you're looking to hire a college then you will find there are restrictions that most agencies skip over. There are also emission zones that can determine what you build and how. Needless to say, term dates close off many venues for months at a time. 

 

However if you can get Oxford right, you can do some things that other cities don't allow. Alternatively, get it wrong and you spend money learning the hard way.

Why Oxford rewards thinking and punishes assumptions

We know Oxford well, particularly because our founder's son Louis Maddison graduated from St Hugh's College, Oxford. In uor experience, three things shape whether a corporate event in Oxford works.

 

The colleges are a venue category unlike any other. There are around 20 of Oxford's 39 that accept external hire and each has its own rules. For example, many are open only during the main summer holiday period (early July to September). In some cases catering is tied to the college kitchens, in others it's open. Of course, dress codes vary. As a general rule, colleges book 12 to 18 months ahead for holiday dates and the booking conversation needs to begin early. 

 

Something to bear in mind is that Oxford city centre has logistics constraints that many other heritage cities don't. As we've mentioned, the zero emission zone can restrict non-compliant vehicle access at certain hours. This can make building and breakdown windows for the central city venues quite tight. Also in the city itself we know that there are accommodation constraints during graduation season (June-July) and during matriculation (October). As an experienced agency, we’re used to working around these so there are no expensive surprises for someone organising without knowing the city.

 

Beyond the city itself lie some of England's strongest event geography. For example, Blenheim Palace is 8 miles north. Le Manoir aux Quat'Saisons is 8 miles south-east. Soho farmhouse, Bicester heritage, the Cotswold villages of Burford and Chipping Norton and the Chilterns all sit within 30 minutes. Oxford is truly a gateway, particularly for events that blend a city centre location with country house extension.

Beyond Oxford: The Cotswolds, Chiltern and Bicester

Moving outside the Oxford wider event geography you can find some excellent opportunities as well. These can all be found within 30 minutes of Central Oxford.

 

Cotswolds villages - There are many but the best include Burford, Chipping Norton, Stow-on-the-Wold and the Daylesford estate.Top choices for Country House weekends, leadership retreats or milestone events with a heritage feel.

 

Soho Farmhouse - private members' club famed for its farm-style, uber cool atmosphere, ideal for residential offsites 

 

Heythrop Park (30-40 minutes) - A country Hotel perfect for residential leadership and senior off-site formats.

The science and tech corridor

Over recent years, Oxford has become one of the UK's strongest corporate-bioclusters outside of London itself. For example, Oxford Science Park, Begbroke, Harwell Campus and Milton Park can all host life sciences, pharma, electronics and AI clients. Events for clients based at these sites often suit the Ring venues rather than the historic centre - the science-park culture is more business-park practical than collegiate ceremonial.

Wherever we deliver an event, our process basically runs the same five stages on each project.  first chat, design and venue work, the bill, the event itself and then completing with the good catch up afterwards.  Oxford briefs generally need the venue and date conversation earlier than other cities because of college holiday booking windows and graduation week accommodation pressure.

Questions about events in Oxford

Can we book an Oxford college for a corporate event in term time?

On balance we would say mostly not. There are probably around 20 colleges that accept external bookings but most are during the holiday periods only (July to September). Some also offer parts of December and March. 

 

There are a few modern and graduate colleges that have weekend availability during term time so talk to us about your needs. However, if your dates are fixed and fall during term, then the college route narrows and we'd usually suggest you change to Examination Schools, Rhodes House, Said Business School, Oxford Town Hall or the country venues outside the city.

How does the zero emission zone affect logistics and build, especially vehicles?

Well the zero emissions are really applied to certain central streets and it can restrict non-compliant vehicles between around 7 a.m. and 7 p.m. The impact of this is that build and breakdown plans need to consider the zone and to account for charges or alternative routing. We’ve found that for most central venues we can manage this routinely. It can add to cost but doesn't prevent delivery - it just rewards planning the access route early.

How far ahead do we need to book an Oxford venue?

That depends. For college holiday dates, 12 to 18 months is our recommended norm and 18 to 24 months for the real serious headline colleges. For Examination Schools and some others, 6 to 9 months. For Blenheim Palace or Le Manoir aux Quat'Saisons then 6 to 12 months is recommended depending upon your date. Summer Saturdays go the quickest.

Can a single Oxford event split across a college and a country house?

Yes indeed and we find this is one of our most popular formats when we deal with corporate events in Oxford. For example, the daytime conference at a central city venue followed by an evening dinner at, say, Blenheim Palace, or a residential overnight at Le Manoir aux Quat'Saisons is a common and popular combination. We handle both ends under a single project plan.

How long would you suggest for a treasure hunt in Oxford?

Despite its incredible heritage, remarkably, Oxford is quite a small city, but it is so interesting and you need time to soak up the atmosphere. We would suggest a two-hour treasure hunt is plenty of time, with a comfort break somewhere in between. This type of activity sits perfectly as an afternoon activity after a morning business session. 

How easy is Oxford to get to?

Oxford is a great location for Mid-Southern UK events because it is well served with direct links to London and is located just off the M40, with good links to the M4 East and West and the A34 to the South.

Do you have a favourite venue in and around the city?

It's just impossible to say there are so many stunning venues in the middle of Oxford, but for sheer majesty and beautiful landscapes, I would have to say it was Blenheim Palace including the nearby village of Woodstock.
