How we help other organisations think out of the box

Most summer socials or Christmas parties are planned well in advance, and of course everybody's expecting it. Something remarkable happens when you do a pop-up or something completely unexpected that engages your team and motivates your staff - the value for reward ratio goes right up.  

It doesn't have to be something big or expensive. It could be a Friday pop-up party, allowing people to finish work early and do something in the car park, wacky, like having a mini funfair, barbecue, and charity raffle.  It immediately says we value you and we want to reward your hard work. 

At Planet Pursuits, we've run hundreds of these. It's not always about the big event. It's about thinking outside the box and maintaining engagement with your staff and associates. 

This is where we come in as event experts and bespoke event planners, because we have a warehouse of wacky kit and event furniture we can always get creative with you and work within your budget. Often these events are pop-ups. We arrive two hours before, organise all their suppliers such as caterers and entertainment, and manage the health and safety, and then we clear up the same day. Usually for this style of event, we are in and out within six hours. 

What have we learned about pop-up and flash innovative events

We've been doing this for quite a while now, in fact since 2001 and we worked with some pretty amazing organisations who have their own creative thoughts about engaging staff and associates. 

Sometimes we are there with practical advice on how we will execute this style of event and support them with logistics, suppliers, and the health and safety aspects. Other times, we are employed to bring our own creativity to this style of event. 

What we have learned is that fresh ideas keep your associates engaged and rewarded but they also create a natural environment for creativity and innovation.

The Ideas Factory

Often this style of event starts as a complete blank canvas, where we come and discover you and your company culture.  Common questions we might ask are:  what projects you are currently working on and how you want to integrate these into your event. What's the mood and atmosphere of the company at the moment? Are you going through a pressurised period? What's the objective of this event?

You may have some ideas of yourself or a theme that's running throughout the company, or a theme of the moment, like The Grand National, Wimbledon or Henley Regatta, and that sparks ideas and imagination. 

We then set to work as a team, working within your budget to create something unique, fresh and inspirational. 

A recent flash event idea

A recent flash idea from our client  Intuit was to create a reality TV zone to engage its associates and create a zone of creativity and innovation during the 3rd week of January, traditionally, the saddest week of the year 

How we work together to create fresh ideas 

Here are the five stages we use to plan a successful summer social event.

  1. A first chat  - we talk through what you're hoping for, who's coming, what feel you want for the day

  2. Concept and venue (3-7 days) - format options, venue shortlist, all costed in detail

  3. The build phase  - suppliers, kit, entertainment, catering, branding, comms, all managed under one project plan

  4. The day itself - we're at the coalface from build through to strike, with our crew on site

  5. After the event - feedback gathered, photos delivered, and a proper catch-up to see if we achieved your objectives 

A few common questions

How much should we spend per head?

It really does entirely depend on your budget. Remember, a percentage of your budget will go on the management  of the event. You'll need some kind of entertainment and think about a bar or light catering, like festival pop-up burger bands or ice cream truck. 

How late can we leave it?

This style of event can usually be delivered within a very short 2-4 week window, providing we have had the time to discuss your fresh idea with you and that we can get appropriate suppliers to match the theme or idea.

What's the contingency plan if it rains?

Contingency planning is a big part of what we do, and once we have seen your site or location, we can advise you. In the UK, we always advise planning for wet weather.

What if we have literally no idea what we want to do?

That's great. That's where creativity starts. We can come in and discuss it with you, and I'm sure by asking the right questions, it will provoke some kind of exciting response that we can work together on.

Can you work with our team in-house?

Absolutely, we can. You might already have the ideas or the seed of an idea, and then we can see what we have in our inventory to support that idea and keep you in budget.
